Finance Coordinator

This position reports to the Assistant Director of Finance. The Finance Coordinator is part of a Finance Team responsible for procuring, receiving, and billing on all animals, technical services and facilities used for research studies. The Finance Coordinator is also responsible for other administrative operations of the Laboratory Animal Resources Department.

This job entails the following:

70% - Billing: Monthly billing. Processes 'Account Change' requests that result in global account transfer. Monitors protocol and charge account data for compliance. Updates charge accounts. Establishes procedures for the monthly billing process. Addresses per diem and technical service billing concerns.

6% - Accounts Receivable

3% - Front Office Front office duties will include answering main departmental phone, providing visitor assistance.

3% - requisitions, purchase orders, follow up on backorders orders, reconcile vendor statements, deposit and track receipts.

3% - Animal Census

3% - Animal Procurement: Provides animal ordering services to Principal Investigators (PIs), lab staff, IACUC, and internal LAR teams during all phases of commercial animal ordering.

3% - Animal Imports and Exports: Responsible for making animal import and export shipping arrangements. Coordinates these activities with veterinarian, facility manager and animal health care coordinator. Maintains inventory of animal shipping supplies necessary for animal exports.

3% - Regulatory Compliance: Responsible for preparing animal use reports for USDA and AAALAC. Verifies animal use numbers with Attending Veterinarian and Animal Health Coordinator. Establishes procedures with the IACUC office to ensure timely and accurate reporting.

3% - Training: Prepares training presentations and materials for animal procurement and census training. Periodically trains Husbandry staff about animal receiving and transfer procedures. Trains researchers/animal users, who oversee animal procurement and colony management. Attends staff meetings & training seminars necessary to remain updated on new processes, revisions, and system-related changes.

3% - Other: Perform other duties as assigned by Assistant Director of Finance.
